This Privacy Policy explains how ClientShare handles personal information when you visit the website, request hosted access, create or use a hosted workspace, or communicate with us about the service.
If you deploy the self-hosted open-source project on your own infrastructure, you control that deployment. This policy may not describe how you collect, store, or manage data in that environment.

We collect the information needed to operate the website and hosted service, respond to access requests, and keep the service secure.
- Contact and account details you provide, such as name, work email, company name, and messages sent through access or support requests.
- Workspace and file-related information needed to run the hosted product, such as portal URLs, membership details, permissions, audit events, and file metadata.
- Technical information such as IP addresses, browser or device details, cookies or similar session technologies, and service logs used for reliability and security.
- Billing and subscription information if you move to a paid plan. Payment card data is expected to be handled by payment processors rather than stored in full by ClientShare.
3. How we use information
We use the information we collect to run the hosted service, keep it secure, and communicate with customers and prospective customers.
- Provide, maintain, and improve the website and hosted ClientShare product.
- Create and manage workspaces, users, roles, secure links, and notifications.
- Respond to questions, onboarding requests, product inquiries, and support messages.
- Prevent abuse, detect security issues, troubleshoot incidents, and comply with legal obligations.
- Send service, billing, launch, and product-related communications that are relevant to the relationship.
4. How we share information
We do not sell personal information. We may share information only when it is necessary to operate the service or when required by law.
- With vendors and service providers that help us operate hosting, email delivery, analytics, payments, backup, or other service infrastructure.
- When disclosure is required to comply with law, enforce our terms, or protect the rights, safety, and security of ClientShare, customers, or other parties.
- As part of a financing, merger, acquisition, reorganization, or sale of assets, subject to the applicable confidentiality and legal requirements.
5. Data retention
We keep information for as long as needed to provide the hosted service, maintain reasonable business records, comply with legal obligations, resolve disputes, and enforce agreements.
Retention periods can vary based on the type of data, the status of a workspace, backup schedules, and any legal or contractual requirement that applies.

We use reasonable administrative, technical, and physical safeguards that are intended to protect the hosted service and the information processed through it.
No internet service or storage system is perfectly secure. If you choose the self-hosted open-source version, you are responsible for the security, configuration, and operation of that deployment.
7. Your choices and rights
Depending on your role and jurisdiction, you may have rights to access, update, export, or delete certain personal information. Workspace administrators may also control user and file access within their organization.
- You can opt out of non-essential marketing communications by using the unsubscribe method included in those messages.
- You can request account or privacy help through the public access form while a dedicated support address is being finalized.
- If you use a self-hosted deployment, your organization controls most privacy choices inside that environment.
8. Changes to this policy
We may update this Privacy Policy as the hosted product evolves. When we do, we will post the revised version here and update the effective date shown at the top of the page.
Your continued use of the website or hosted service after an update takes effect means the revised policy applies going forward, subject to any rights you may have under applicable law.
